Company Overview: We are a leading manufacturing company specializing in the packaging industry. Our commitment to excellence drives us to seek an Import Spares Coordinator who will play a pivotal role in our operations.

Position Summary: As the Import Spares Coordinator at Shibuya Hoppmann, you will be responsible for handling all aspects of spare parts quotations for our manufacturing customers. Your role will involve efficient communication with customers and our parent company, accurate pricing determination, and ensuring timely delivery of parts to meet our customer’s requirements.

Key Responsibilities:

  • Parts Orders Management: Receive and process parts orders from various customers, ensuring accuracy and completeness. This sometimes requires researching information for the correct part, working with the engineers and service team to determine additional information required for part identification.
  • Price Determination: Research and determine competitive pricing for parts based on supplier quotations.
  • Quotation Preparation: Prepare detailed and accurate quotations for customers based on their specific requirements and our pricing policies.
  • Sales Orders: Generate sales orders based on received PO’s from customers.
  • Inventory Monitoring: Collaborate with the inventory control team to ensure optimal stock levels of parts and components to support production needs.
  • Documentation and Cooperation with Purchasing: Work with the purchasing agent to confirm parts ordering; answering any questions or issues that purchasing may have regarding orders.
  • Backup: Be able to fully back up the Purchasing group in times of need.

Qualifications:

  • Education: High school diploma required; additional education in business administration or supply chain management would be advantageous.
  • Experience: Experience in customer service in a manufacturing environment. Familiarity with ERP systems preferred. (Familiarity with EPICOR is a big plus).
  • Must be authorized to work in the United States.
  • Skills:
    • Strong organizational and multitasking abilities.
    • Attention to detail and accuracy in pricing and order processing.
    • Excellent verbal and written communication skills.
    • Proficiency in MS Office Suite (Excel, Word, Outlook).
    • Ability to work effectively both independently and within a team.
    • Knowledge of supply chain processes and inventory management principles.
    • Be responsible and accountable as well as flexible with internal requests and customer needs.

Office hours: 8 hours per day, Monday to Friday
